What we collect

When you book a camp, request a birthday quote or contact us, we may collect:

• the parent or guardian's name, email address, phone number and billing address;
• information about the child: first name and surname, age, and — where you choose to tell us — school, dietary requirements, allergies, medical conditions and emergency contacts;
• the details of your order and of any message you send us;
• basic technical information your browser sends when you visit the site, which our platform uses to keep the site working and to prevent fraud.

We ask for information about a child only where it is needed to look after that child safely.

Children's information

Our camps are for children aged 4 to 15, so we do hold information about children — deliberately, and only for their safety and care.

That information is always given to us by a parent or guardian, never collected from the child directly. We never ask a child to create an account, and children do not book or pay on this website.

Allergies, medical conditions and emergency contacts are shared only with the coaches responsible for that child during the camp, and only for the days concerned. They are never used for marketing, never sold, and never shared with anyone else except where a child's safety or the law requires it.

As a parent or guardian, you can ask us at any time what we hold about your child, correct it, or have it deleted.

Why we collect it

To run and manage our camps, parties and coaching sessions; to look after your child safely; to process your order and issue receipts; to answer your questions; and to send you the practical information you need before a camp — meeting point, times, what to bring.

We send marketing emails only to people who have asked to receive them, and every one of those emails carries an unsubscribe link.

Who has access

Your information is processed by HOLICAMP LTD. We do not sell it, and we do not share it for advertising.

It is handled on our behalf by the service providers we need to run the site and the camps: our e-commerce platform, our payment provider, and our email provider. Coaches are given only what they need on the day — first name, age, and any medical or dietary information that keeps a child safe.

We may also disclose information where the law requires it, or where it is necessary to protect a child.

Our platform

This store runs on Shopify. Shopify processes your information on our instructions to provide the shop, and also uses some of it for its own limited purposes — keeping the platform secure, preventing fraud, and complying with its legal obligations. Shopify publishes its own privacy policy at shopify.com/legal/privacy.

Where your information is held

Our providers may store or process information outside the United Kingdom. Where that happens, the transfer is covered by the safeguards UK data protection law requires — standard contractual clauses, or a country the UK recognises as offering adequate protection.

How long we keep it

Booking and accounting records are kept for as long as UK tax and company law requires. Information about a child that is no longer needed — medical notes, dietary notes — is deleted once the camp has ended and any related matter is closed.

Your rights

You can ask us for a copy of the information we hold about you or your child, ask us to correct it, ask us to delete it, ask us to restrict how we use it, or object to the way we use it. Write to holicampltd@gmail.com and we will reply within one month.

If you are not satisfied with our answer, you can complain to the Information Commissioner's Office (ico.org.uk), the UK's data protection authority.

Cookies

This website uses only the cookies that are strictly necessary for it to work, including those our platform and our payment provider need to process an order securely and prevent fraud. We do not use advertising cookies.

We update this page when our practices change. The date below tells you when it was last revised.
